Action Group Information

Every member of Zion is
assigned to an action group which serves one month every year. Each action group supplies ushers,
greeters, lay readers, kitchen help, serves coffee and provides cookies/bars after services during
that month. They also help with funerals.
Action groups are formed every three years.
This gives everyone an opportunity to meet new people and form new friendships.
A booklet listing all Action Group leaders and members is available from the
office.
The following documentation is more of the detail
that exists in each action group. If you have any questions or concerns,
please contact the office.

ACTION LEADERS:
Pre-meeting:
A folder listing the dates and responsibilities will be
provided by the office at least one month prior to the action group
month.
Action Leaders should contact the office as to when they
will be meeting to organize and assign responsibilities. The
office will place the meeting date in the bulletin. Usually the meeting
occurs Sunday morning during coffee fellowship at least two weeks prior
to the assigned month. It is very helpful if you give the members of
your group a phone call telling them when you will be meeting.
Planning meeting:
Duties will be volunteered for or assigned for during the
meeting. If you know you will not be available at that time, please
notify your leader. Action leaders will turn a copy of the master
sheet into the office at least one week before the scheduled month.
Post meeting:
Youth should be
involved as much as possible. Be sure they have instructions as to
what to do and that someone is available to help them, if needed.
Anyone unable to serve
in the month assigned or if for any reason you find it impossible to
perform the tasks assigned, please find a substitute and then notify
your leader.
Remember, you are only
asked to serve once every 11 months. Your cooperation with your action
group leader and other members in your group will be very much
appreciated. If necessary, feel free to call another action group
member to help.

| RESPONSIBILITIES:
Ushers:
 | 2 people per service. |
 | Arrive 20 - 30 minutes before the service. |
 | Sign & wear a name badge. They are located in the top
drawer of the kiosk. |
 | Bulletins (regular & children's) will be located on the narthex
table or in a container above the coat racks. |
 | Place the hymn numbers on the front board. Index of
numbers are located inside the lectors stand.
Please be aware hymns are
often different between the services so change hymn numbers between
services, if needed. |
 | Hand out bulletins as people enter the sanctuary. |
 | As the sanctuary fills, ask the people if they would like help
finding a seat. |
 | Over flow chairs might need to be set up in the Narthex.
Chairs are located in Fellowship Hall in the big closet across from
the kitchen. |
 | Look around making sure everyone has a hymnal and bulletin. |
 | RING THE BELL 7 TIMES BEFORE THE PASTOR STARTS WALKING INTO THE
SANCTUARY. |
 | Receive the offering. Remember the balcony. |
 | Always face the front when receiving the offering at each row,
never look down at the pews. |
 | Help the children when they bring the offering to the front. |
 | Stay at the altar until the pastor starts walking around the
altar. |
 | Record the attendance on the Ushers Report. Be sure to
count all the children, choir, etc. |
 | Direct people to the altar for distribution of communion,
collecting communion cards. |
 | When everyone is out of the sanctuary, pick up the bulletins and
place them in the recycle box. No colored paper, please. Rearrange the hymnals, if
necessary. |
 | Remove the hymn numbers from the front board at the end of each
service. |
 | Place the Ushers Report on the desk in the office. |
Note: Someone from the church council will be picking up the
offering plates after the service.
Greeters:
 | 2 people per service |
 | Arrive 20 - 30 minutes before the service. |
 | Sign & wear a name badge. They are located in the top
drawer of the kiosk. |
 | Greet people as they arrive. |
 | Ask guests to sign our guest register. |
 | Assist the Ushers in receiving the offering. |
 | Assist the Ushers in directing people for communion. |
 | Assist the Ushers in picking up the bulletins, arranging the
hymnals, etc. |
Lay Readers:
 | Lay readers read the First & Second readings for the day. |
 | Readers will be given a large type copy of the readings along
with a pronunciation guide. |
 | Double check the bulletin to make sure your readings are the
same as what is
listed in the bulletin. If different, always read from the
bulletin. |
Kitchen Help:
 | Usually 4 people or couples sign up. They not only provide
the 24 dozen cookies or bars but they also get all the tables ready
for coffee fellowship and then clean up afterward. |
 | Provide/serve cookies, bars, coffee, lemonade, and water between
services or after the 10:00 service. |
 | Fill cream and sugar bowls. |
 | Coffee making is started 45 minutes prior to the service
concluding. Fill the carafes with coffee and place on each
table. It is not necessary to pre-fill each carafe with hot
water. |
 | One pot of decaf coffee is placed on the counter top by the
cookies/bars. |
 | Lemonade, water pitchers and glasses are placed on a rolling
cart. The cart is positioned by the serving counter. |
 | Dish washer should be started and have one run through prior to
doing any dishes or cups. |
 | Clean up the kitchen. |
 | Make a note on the board on the refrigerator of any supplies
that are needed. |
 | Take the bulletins to a recycle location. No colored paper. |
 | Empty the garbage. |
 | Make sure all the office doors are locked. |
 | Turn off the lights. |
 | One large can of coffee and one large can of lemonade should be
purchased sometime during the month. Place in the pantry for
future use. |
Serving functions:
Funerals:
 | Preparing food and serving for Funerals are the responsibility
of the action group. |
 | A funeral book is located in one of the kitchen drawers.
This should assist you in what you need to do in the kitchen for a
large group. |
 | The office or Pastor will let you know what the family would
like served. |
 | Please keep it updated with information for each event. |
Pot-lucks, church activities, weddings:
 | Most of these are the responsibility of the action groups.
Check with the office to see if the action group or circle is
responsible. |
Occasional Cleaning Activities:
 | Kitchen cupboards should be cleaned/organized in June and
October. |
 | Refrigerators & ovens should be cleaned in April & November. |
Flowers:
 | Do not place flowers on the altar, organ, or piano. We
have stands that can be used. The stands are located in the
janitors room just off of the narthex. |
